Job Description


We are looking for a Virtual Assistant to provide administrative support to our team and customers while working remotely. As a Virtual Assistant, you will perform various administrative tasks, including but not limited to answering emails, scheduling meetings, social media management, and marketing and making travel arrangements. For this role, a strong Internet connection is required, along with experience using communication tools like Skype, Zoom, and Go-to-Meeting. The ideal candidate should be tech-savvy, able to communicate through multiple channels, and super organized. You should be able to handle administrative projects and deliver high-quality work under minimum supervision.

Role and Responsibilities

  • Responding to emails and phone calls

  • Scheduling meetings, meeting spaces and conference rooms

  • Booking travel accommodations

  • Creating flyers/marketing materials

  • Social media management

  • Manage a contact list

  • Prepare customer spreadsheets and keep online records

  • Organize managers’ calendars

  • Perform market research

  • Create presentations, as assigned

  • Address employees and customer administrative queries

  • Provide customer service as the first point of contact

  • Handle billing and accounting

  • Prepare and send out e-mail newsletters

  • Prepare, collate and ship proposals and meeting materials

  • Send out the requested information to customers

  • Handle confidential employer and client information

  • Other duties as assigned


Qualifications and Preferred Skills

  • Two (2) years’ previous experience handling assistant or administrative responsibilities, or experience in customer service or related field preferred

  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars

  • Experience with Google Docs, cloud services, and other technology tools

  • Knowledgeable in technology to communicate via computer, smartphone, or text

  • Highly organized multitasker who works well with fast-paced directions and instructions

  • Demonstrates excellent time management

  • Able to organize and manage large amounts of files, tasks, schedules, and information

  • Self-directed and able to work without supervision

  • Excellent verbal and written communication skills

  • Strong customer service and presentation skills

  • Able to work nights, weekends, extended hours, and holidays as needed
